The Challenge

ProjectBoard's founders were freelance consultants themselves, and before iMobdev got involved they were running their entire practice out of a stack of paper notebooks, spreadsheets, and reminder apps that didn't talk to each other. Client details lived in one place, project scope in another, and invoices were typed up from memory at the end of the month.

The pain points were concrete. There was no single record tying a client to their projects, milestones, and outstanding invoices, so nothing could be cross-referenced without flipping between tools. There was no lightweight way to add a new project on the go — between meetings, from a phone, in under a minute — and no safe way to bulk-manage a growing client list without risking an accidental deletion. Freelancers who bill by the project had no visibility into which clients were actually profitable.

Every month without a real system meant hours lost to manual invoice assembly and, worse, undercharged or forgotten work. For a target user who *is* the business, that lost time is lost income, and a missed milestone update can cost a client relationship outright.

Technically, the founders wanted the familiarity of a paper notebook — something non-technical solo operators would trust instantly — without sacrificing the structure of a real database underneath.

Our Solution

iMobdev framed ProjectBoard as "your business, in one notebook": a single mobile app where Clients, Projects, Milestones, To-Do, Reports, and Invoicing all reference the same underlying records, so nothing has to be re-entered twice.

Under the hood, we built a native mobile client backed by a REST API and a relational database, with every project record foreign-keyed to a client and every milestone and invoice line item foreign-keyed to a project — replacing the founders' disconnected notebooks with one connected ledger. Local caching keeps the client and project lists instantly available even on a spotty connection between job sites.

On the UX side, we leaned into the paper-notebook metaphor deliberately: a spiral-bound page frame, a chalkboard-style header for navigation, and a warm woodgrain backdrop that feels handheld rather than corporate. The core "Add New Project" flow was built as a single scrollable form — name, client, type, cost, description — so a freelancer can log a new job in the time it takes to close out a phone call, and destructive actions like multi-client deletion sit behind an explicit confirm/cancel action sheet to prevent accidental data loss.

For integrations, the Reports and Invoice modules pull directly from the same project-cost fields entered at intake, so generating an invoice is a matter of selecting a project rather than re-typing numbers. Delivery was phased: the Clients/Projects/To-Do core shipped first, Milestones and Reports followed, and Invoicing was hardened last once real usage data showed which report views freelancers actually relied on.

The Impact

ProjectBoard gave solo consultants and small agencies a single app where a client, their open projects, and their invoice history are always one tap apart — replacing a fragile mix of notebooks and spreadsheets with one auditable system. Early users reported cutting their end-of-month invoicing time dramatically simply because the cost data was already captured at the point a project was created.

The bulk client management and reporting tools also gave growing freelance practices a clearer read on which relationships were the most profitable to keep investing in. iMobdev continues to extend ProjectBoard's reporting suite as its user base scales past solo operators into small teams.
