The Challenge
Minutely's founders — two former product managers — had lived the same problem for years: back-to-back meetings, half-written notes, and action items that quietly died in someone's notebook. They had a clear thesis for how AI could fix this and a landing page collecting signups, but no product. There was no way to join a call, transcribe it, and turn it into something a team would actually act on.
The pain points were concrete. Teams needed a tool that could join a live call and transcribe it in real time without a human ever pressing record, then turn an hour of rambling conversation into a summary someone would actually read, not a wall of raw transcript. Just as important, action items mentioned in passing — "can you send that over by Friday" — had to be automatically extracted with the right assignee and due date, since manually re-listening to find commitments was exactly the busywork Minutely was meant to eliminate.
Every sprint without a working app meant more manual note-taking inside the founders' own company, and a growing signup list with nothing to convert them into. Enterprise pilot customers were willing to test the product, but only once it reliably worked across their existing Zoom and Google Meet workflows.
Technically, the team was also constrained by accuracy expectations: a meeting summary tool that misattributes an action item or garbles a name erodes trust immediately, so the transcription and extraction pipeline had to be dependable from day one, not an obvious beta.
Our Solution
iMobdev framed Minutely as a single pipeline with three jobs done extremely well: capture the conversation, understand it, and turn that understanding into things a team can act on. Every architectural decision traced back to keeping that pipeline fast and trustworthy.
On the AI and architecture side, we built a React Native app backed by a Node.js and Express API, with a WebRTC-based call-joining service that connects to Zoom, Google Meet, and Microsoft Teams as a silent participant. Audio streams through OpenAI's Whisper for real-time transcription, and the resulting transcript is summarized and structured by GPT-4o, which extracts key discussion points, decisions, and action items with assignees and due dates in a single structured pass. Every transcript is chunked and embedded into Pinecone, powering the cross-meeting search experience so a user can find "that thing about the billing migration" without remembering which call it was said in. PostgreSQL stores meeting metadata, summaries, and the task graph that ties action items back to their source meeting.
On the UX side, the recording screen was designed to stay legible in the middle of a live call — a waveform, a running transcript preview, and one clear action to end and summarize — while the summary screen leads with the AI-generated paragraph first and pushes the full transcript one tap away, because most people only need the headline, not the whole conversation.
For the data layer, action items persist independently of their source meeting so they can be grouped by due date or assignee across a user's entire task list, not just recalled meeting by meeting, and every transcript remains searchable indefinitely rather than expiring after a review window.
Delivery was phased around trust: the recording and summarization core shipped first for a small pilot group, the cross-meeting search and unified action-item list followed once transcription accuracy was validated in real usage, and the final phase focused on calendar integrations and team-wide rollout tooling.
The Impact
Minutely launched with a complete meeting-to-action pipeline: join a call, get a written summary within moments of it ending, and see every commitment made land automatically on the right person's task list. Pilot teams stopped taking manual notes almost immediately, and the searchable transcript archive turned "what did we decide about that" into a ten-second lookup instead of a scroll through old chat threads.
The accuracy of the action-item extraction became Minutely's strongest word-of-mouth driver, turning early pilot users into the case for a broader company-wide rollout. iMobdev continues to work with Minutely on deeper calendar integrations and team analytics as the product scales.
